Scope

All-Connects provides solutions to digitally map the use of vehicles, teams and materials on a professional platform. To do this, we may need to collect your personal data to provide you with the best protection and most up-to-date security. Your trust cannot be taken for granted.

Therefore, we have created a Privacy Policy that describes how we collect, use, disclose, transfer and store your personal information.

This " Privacy Policy " applies to the following applications of All-Connects nv: CHECKIN@WORK APP, Checkin@BPC, workSITE.GO app, AGR APP, AGR-GPS

mestvoerders, PrestaMob APP, FLEET.driver, FLEET.manager, FLEET.tracker, LiveCleaner, LIVE.connects, CHECK.connects, www.all-connects.be (and the subdomain gpstracking.all-connects.be). Note that this Privacy Policy applies to all applications listed here, although not all sections are relevant to every application; please read the details carefully to understand the specific data processing practices and procedures applicable to each application.

This Privacy Policy describes how we treat and protect your personal data and the choices you have regarding the collection, processing and viewing of personal data and how to update, correct and delete it. Additional information about our personal data practices may be provided in product settings, contractual terms or notices provided prior to or at the time of data collection.

This Privacy Policy is intended for you if you are a user of our products and services.

Personal data we process

We may collect or ask you to provide certain information when you visit and use our websites, products and services. The sources from which we collect Personal Data are:

  • Data collected directly from you or your device relating to an identified or identifiable natural person ("Data Subject"). This data may include direct identification data such as name, address, e- mail address, phone number, and online or indirect identification data such as login account name, login password, marketing preferences, social media account, payment card number or IP address;
  • If we link other data relating to you to your Personal Data, we will treat that linked data as Personal Data; and we may also collect Personal Data from trusted third-party sources such as distributors, resellers, app stores and contact centers. We may also hire outside vendors in areas such as marketing, surveys, analytics or software vendors to assist us in collecting Personal Data.

We classify the Personal Data we process into these basic categories: Billing Data, Account Data and Product Data.

  1. Billing information includes your name, email address, masked credit card number, license information and, in certain circumstances, your billing address and phone number. In most cases, you purchase our products and services from a trusted third-party service provider, reseller or app store. In those cases, your billing information is processed by the relevant third party and we receive only a portion of it to maintain appropriate business records.
  2. Account information includes information needed to set up and customize an account, such as your email address, username and information related to our services, such as license codes. Some of our products or certain of their features require an account. Personal Data is any information relating to an identified or identifiable natural person ("Personal Data").

    The account is the unique secure access point. You have the opportunity to provide additional information on your account, such as personal texts, your date of birth, gender, text message number, text message username or website name and address, your physical location, and you can also select an avatar or personal image. All the information you provide here is visible to other users (including your total number of messages and posts per day, the date and time of your registration, your local time, and the date and time of your last activity).

  3. Product data includes two subcategories:
  • Device data includes operating system information; hardware; device location/country; error logs; browser; network; applications running on the device, including All-Connects products;
  • and- Service data includes information about the use of the All-Connects product and events related to your use of our product, such as malware samples and detections, information about website URLs, usage statistics (activation, crashes, scans, errors), IP address.

Why we process your personal data

We use your Personal Data for the following purposes and on the following grounds:

Based on the performance of our contract with you, or based on entering into a contract with you at your request, to:

  • process the purchase of the products or services from us, our partners or the web stores of our trusted third parties; ensure the download, activation and operation of the product or service;
  • Keep our products or services up-to-date, secure and error-free;
  • Verify your identity and eligibility for paid products or services when you contact us for support or access to our services;
  • process your purchase transactions
  • Keeping you informed of the status of your orders and licenses;
  • Manage your subscriptions and user accounts; and
  • Provide you with technical and customer support. Based on your consent to:
  • signing up for a newsletter or the All-Connects forum;
  • enable the placement of personalized advertisements in support of certain free products.

Prior to any processing required for this purpose, we will always seek your consent and provide you with the necessary information through our Consent Policy or otherwise, as applicable. Based on legal obligations, we process your Personal Data when necessary to comply with a legal requirement relating to tax, accounting, anti-money laundering regulations, the rule of law or any other obligation to which we are subject.

Based on our legitimate interest, we will use your Personal Data for:

  • communications regarding potential security, privacy and performance enhancements and products that complement or enhance those purchased from us and to optimize the content and delivery of such communications;
  • Product development and research and the implementation of product features, improvements and updates;
  • Evaluation and enhancement of third-party analytics to improve the performance and quality of our products, services and websites and to understand usage trends and analysis of user purchases, conversions and campaigns;
  • enable interoperability within our applications; security of our systems and applications;
  • running our business effectively by ensuring that the internal administrative and commercial processes necessary to do so (e.g., finance, controlling, business intelligence, legal affairs and compliance, information security,
  • Establishing, exercising or defending our legal rights. We have competing interests for the above processing activities You have the right, based on our speciic situation, to object to these processing activities. See the "your privacy rights" section for more information.

Balancing legitimate interests

Before invoking our legitimate interests, we have weighed them against your interests and satisfied ourselves that they are compelling enough and do not cause unjustified harm. With respect to the purposes below, we find it necessary to explain in detail what our interests are.

Security of systems, apps and networks

We process Personal Data for the purpose of network and information security. In accordance with EU data protection legislation, organizations have a recognized legitimate interest in collecting and processing Personal Data to the extent strictly necessary and proportionate to ensure network and information security. This primarily refers to the ability of a network or information system to resist incidents, attacks or unlawful or malicious actions that could compromise the availability, authenticity, integrity and confidentiality of stored or transmitted data, or the security of related services offered by or accessed through these networks and systems.

As an organization in its own right and as a provider of cybersecurity technology and services, including hosted and managed cybersecurity technology services, the functionality of our systems, products and services and our legitimate interests and those of our users require us to collect and process Personal Data to the extent strictly necessary and proportionate to ensure the security of our own networks, devices and information systems and those of our users. This includes the development of threat intelligence tools aimed at continuously maintaining and improving the ability of networks and systems to withstand unlawful or malicious actions and other harmful events ("cyber threats").

The Personal Data we process for the stated purposes includes, without limitation, network traffic data related to cyber threats, such as:

  • e-mail addresses of senders (e.g., from sources of SPAM);
  • e-mail addresses of recipients (e.g., of victims of targeted e-mail cyberattacks, including phishing);
  • email addresses from reply-to-mail (as configured by cybercriminals sending malicious emails);
  • file names and execution paths (e.g., of malicious or otherwise harmful executables attached to emails);
  • URLs and associated page names (e.g., of web pages that broadcast or otherwise post harmful or otherwise harmful content); and/or
  • IP addresses (e.g., of web servers and connected devices involved in generating, distributing, transmitting, hosting, caching or otherwise storing cyber threats such as malicious or otherwise harmful content).

Depending on the context in which such data is collected, it may be Personal Data about you or other data subjects. In such cases, however, we process the data in question only to the extent strictly necessary and proportionate for detecting, blocking, reporting (by removing personally identifiable elements) and mitigating cyber threats of interest to you, and for securing your network, device and systems.

When processing Personal Data in this context, we do not attempt to identificate data subjects.

In-product and email notifications

We have a legitimate interest in informing our users about potential security, privacy and performance enhancements and products that complement or enhance purchased products, as well as communicating our closing days. If you are our customer, we believe we have a responsibility to inform you of security and feature improvements and potential problems with your device and software that are not installed by our product, and to provide you with effective solutions relevant to these problems, including solutions developed by us. So we have a legitimate interest in optimizing the content and delivery of these types of messages to you so that you are likely to find them relevant, but at the same time not intrusive.

Development of new products

We have a legitimate interest in using necessary Personal Data to develop new products or features to provide you with state-of-the-art security, privacy and high-performance products.

Third-party analytics (user purchases, user interactions).

We have a legitimate interest in using necessary Personal Data for third-party analytics to understand user conversions, purchases and campaign performance across various distribution channels, and user downloads, activations and interactions with our products, as these analytics help us maintain the functionality, effectiveness, security and reliability of our products and business operations.

How we process your personal data

We do our best to decouple or remove all direct identificators from the

No automated decision-making, including profiling

We do not make decisions using algorithms or profiling that have significant implications for you.

How we disclose your personal information

As described below, we will only disclose your Personal Data within our group, to our partners, to service providers who process data on our behalf, and to government authorities, as required by applicable law. Processing will only take place for the purposes described in this Privacy Policy and the relevant sections of the Product Policy.

 

When we disclose your Personal Data, we require that the recipients of such data comply with applicable privacy and confidentiality requirements and security standards.

Payment Processors

If you choose to pay for our services, we use the services of a third-party payment processor to receive your payment. These third parties are properly regulated and authorized to process your payment information and may not use your Personal Data for any purpose other than to provide these services on our behalf.

However, they are independent processors of your data with their own responsibility. Your billing data is processed by the payment processor from whom you purchased the product. Your data will be processed in accordance with the relevant processor's privacy policy.

Suppliers of analysis tools

We use analytics tools, including tools provided by third parties, that, among other things, allow us to identificate potential performance or security issues with our products, improve their stability and operation, and gain insight into how you use our products and websites so that we can optimize and improve your user experience and evaluate and improve our campaigns.

We use service and device data for analysis. Although we generally use our own analytics tools, we sometimes need to partner with other parties who have developed their own tools and expertise and made them available to us. We list these partners, their tools and their privacy policies below.

Government agencies

In certain cases, it may be necessary to disclose your Personal Data to government authorities or as otherwise required by applicable law. No Personal Data will be disclosed to any government agency except in response to:

  • a subpoena, arrest warrant or other process issued by a court or other government agency with competent jurisdiction;
  • a legal process that has the same effect as a court order to release data, so that if we refuse to provide such data, it would violate local law and the company or its officers, directors or employees could be held liable for failing to comply with such legal process;
  • when such disclosure is necessary for us to enforce our legal rights under applicable law; or
  • A request for data to identificate and/or prevent credit fraud.

How we protect your personal information

We maintain administrative, technical and physical measures to protect your Personal Data.

Administrative precautions

Access to our users' Personal Data is limited to authorized personnel who must have such access based on their job description, e.g.

employees providing technical support to end users or maintaining user accounts. In the case of third-party contractors who process Personal Data on our behalf, similar requirements are imposed. These third parties are contractually bound by confidentiality clauses even when they leave. If an individual employee no longer requires access, that person's login credentials will be revoked.

We maintain administrative, technical and physical measures to protect your Personal Data.

Proportionality

We strive to collect no more Personal Data than is necessary for the purpose for which we collect it. This in turn helps to reduce the overall risk of harm if data loss or a security breach occurs: the less data we collect, the lower the overall risk.

How we store your personal data

We keep your personal data on our systems for the following periods:

  • For billing information, as long as we have a legal obligation or for our legitimate interests in establishing legal rights;
  • For account information, as long as you maintain your account;
  • For product data, only as long as necessary for a particular product or a particular We use periodic deletion periods, which means that we delete regularly collected data in the periods specified, starting with the collection of the data in question. Periodic deletion periods for product data do not exceed six years.

Please note that when you uninstall our product, processing for service purposes, in product messages, external analytics and third-party advertisements, if applicable, will stop, depending on the product installed. After removal, we will continue processing your product data for up to six years for statistical purposes, but using appropriate measures, including pseudonymization.

Storage applications

The data we collect from you may be stored, applying technical and organizational security measures appropriate to the risks, both internally and on third-party servers in Belgium, Switzerland, Finland, Lithuania and anywhere we or our trusted service providers and partners operate. In all cases, we follow generally accepted standards and security measures to protect the personal data provided to us, both during transmission and when we receive it.

Your privacy rights

You have the following rights regarding the processing of your Personal Data:

Right to Information - Right to receive information about the processing of your Personal Data upon request, prior to and during processing.

Right of Access - In addition to information about the processing of your Personal Data, you have the right to receive a copy of your Personal Data being processed.

Right to rectification - We must process correct Personal Data; if you discover something incorrect, you have the right to request rectification of the incorrect Personal Data.

Right to erasure ("right to be forgotten") - You have the right to erase your Personal Data, but only in specific cases as provided by law, for example if there is no legally recognized legal basis for further processing of your Personal Data (including protection of the legitimate interests and rights of All-Connects NV).

Right to data portability - The right to receive Personal Data that you have provided and that is processed on the basis of consent or when necessary for the conclusion and performance of a contract, in a machine-readable format. This right applies only to Personal Data processed by automated means.

Right to object - Applies to cases of processing carried out in the context of a legitimate interest. You have the right to object to such processing based on your specific situation and we are obliged to review the processing to ensure compliance with all legally binding rules and applicable regulations. In the case of direct marketing, following the objection, we will stop processing Personal Data for such purposes.

Right to withdraw your consent - In the case of processing based on your consent, as specified in our Consent Policy , you may withdraw your consent at any time using the same method (if technically possible) that you used to give us your consent (the exact method is described in detail with each consent you give). Withdrawing consent does not affect the lawfulness of processing based on your consent before you withdrew it.

Right to restrict processing - You have the right to restrict the processing of your Personal Data if: you dispute the accuracy of your Personal Data for a period that allows us to verify the accuracy of your Personal Data; the processing is unlawful and you oppose the erasure of the Personal Data and request us to restrict its use instead; we no longer need the Personal Data for the purposes of the processing, but they are required by you to bring, exercise or defend legal claims, or you have objected to the processing of your Personal Data and it has been verified that our legitimate reasons outweigh your interests.

Right to contact supervisory authority, court - You can file a complaint with the supervisory authority - Data Protection Authority - Home | Data Protection Authority or your local authority or a relevant court.

Whether the above data subjects' rights are met depends on the category of Personal Data and the processing activity. In all cases, we will strive to comply with your request. We will address your request within one month of receiving your request regarding any of your rights regarding your Personal Data. If we are overwhelmed with requests or in the case of particularly complicated requests, the deadline may be extended to a maximum of a further two months. If we fail to meet these deadlines, we would of course prefer that you contact us to resolve the situation informally.

When requests we receive are clearly unfounded or excessive, particularly because of their repetitive nature, we may:

  • charge a reasonable fee, given the administrative costs of providing the information or communication or taking the requested action; or
  • refuse to grant the request.

We do not retain, acquire or process any additional information for free versions, now or in the future, solely to identificate users of our free products and services. This is simply not necessary for the free versions of our products provided to you and your function.

This means that if you use a free version of our products and services, you may contact us regarding your Personal Data. Please note that in accordance with our privacy by design, privacy by default (built-in privacy and standardized privacy) and minimization practices, we may not be able to identificate you with respect to your Product Data on your specific free products and services. If such a situation arises, please go to your Product Settings and review your options.

We reserve the right to revise or modify this Privacy Policy. In addition, we may update this Privacy Policy to reflect changes in our data practices.
