3 myths about fleet management that are costing your business money (and what's really behind them)

In the world of fleet managers, persistent myths about fleet management are still popping up. And these are costing companies not only time, but also considerable money.

Our technology partner Mapon spoke with their chief of technicians - someone who works with customers every day and knows exactly what's on their minds. His insights expose three common myths about how companies manage their fleets, save fuel and support drivers. We're happy to share them with you, because smarter fleet management starts with accurate information.

Myth 1: All drivers steal fuel

BLOG myths-fleet management myth1-fuel

For many fleet owners, fuel theft seems to be a constant threat. Fuel disappears, costs rise, and someone has to be blamed - usually the drivers.

But the reality is more nuanced. Most drivers don't steal fuel at all.

The real cause of high fuel costs is ... driving itself.

Fast driving, long idling, abrupt acceleration or hard braking all increase consumption. Thus, two drivers driving the same truck on the same route can have very different results.

One of our customers noticed this himself. A driver had a low driving score because he was driving his truck as if it were a light van. After targeted coaching, the company saved €300 per month in fuel costs.

Relying solely on distrust breaks down that trust. You can invest in sensors and alarm systems to detect theft, but as long as inefficient driving behavior is not addressed, costs will continue to rise.

Another client saw the turnaround up close: a driver who was suspected of "stealing" €100 of fuel a month ended up being one of the most efficient employees. Instead of punishment, he received a €100 monthly bonus for fuel-efficient driving. His behavior changed, the company saved hundreds of euros a month, and the fuel problem disappeared.

How Mapon helps save fuel:

Fuel management and driving behavior tools do more than just measure - they help companies establish motivational programs. Drivers who know that efficient driving is rewarded improve their performance.

Drivers and managers automatically see a driving score calculated by the GPS device based on real driving data. Managers can open reports to see how much fuel a vehicle or driver has consumed in a given period, and use those insights to encourage more economical driving behavior.

Myth 2: AI will replace drivers

BLOG-myths-fleet-management-myth2-ai-replaces-driver

Autonomous systems and AI solutions are developing at lightning speed, and it sometimes seems as if drivers will soon become obsolete. But those who have worked in logistics for some time know better: drivers remain irreplaceable.

Technology can react in milliseconds, but not anticipate like a human. Our chief of engineers tells of an incident in Sweden: a truck with an advanced safety system stopped just in time to avoid children suddenly crossing the street. But the real reason it ended well? The driver had noticed the school bus earlier, taken his foot off the gas pedal and kept his foot above the brake. His instinct gave the system the extra margin it needed.

Without that human intervention, would the truck have stopped in time, too? No one knows - and no one wants to test it.

This myth is dangerous because it underestimates and deters drivers. Companies that talk about replacing them with AI risk losing their best people. And in an industry where it's already hard to find good drivers, you're not making it any easier.

How Mapon strengthens the role of the driver:
Advanced Driver Assistance Systems (ADAS) and driver monitoring tools support drivers but do not replace them. They help reduce risk and provide peace of mind, while the person behind the wheel remains in control.

Myth 3: Technology solves fleet problems by itself

BLOG myths-fleet management myth3-technology-is-enough

Installing new devices feels like progress. But often companies expect technology to "fix everything." The harsh reality: data doesn't change anything - people do.

A Mapon customer had temperature monitoring in refrigerated trailers. When loads were damaged because drivers left the doors open too long, the system clearly indicated that. Yet the company did not intervene, fearing that stricter rules would irritate drivers. The result? Even more tainted goods. Only when they established a clear policy - exceeding temperature limits will result in consequences - did compliance improve.

The lesson is simple: sensors, trackers and reports only help when they are used to start conversations and set expectations. Without communication and clear incentives, they remain underutilized.

What truly successful fleet management entails

These three and many other myths distract companies from what is already possible today. Many managers think carefree and efficient fleet management is years away - but with the right tools and approach, it is already a reality.

AllConnects customers can use the Mapon management platform today already:

  • Key fleet statistics check in seconds, not hours.
  • Use one reliable system for accounting, maintenance and scheduling.
  • Turning driving behavior into motivational programs that save fuel AND motivate drivers.
  • Prevent cargo loss through real-time temperature and video monitoring.
  • Plan routes and tasks based on live data instead of guesswork.

This is not a distant future. It is happening today - when technology is combined with clear agreements, good communication and mutual trust.

Myths persist because they are easy to believe. But they cost companies money and erode trust with drivers. True fleet management is about the right balance between technology and people. That's how you save fuel, protect your cargo and keep your drivers on the road.

With the right insights and tools, you can already work much more efficiently and transparently today. At AllConnects, we use Mapon technology to help companies take that step. That's how you combine technology, communication and trust into one strong fleet strategy.
