A company car has benefits for both the employer and the employee. Among other things, a company car is tax deductible, which is an advantage for the employer. And the employee, in turn, has the advantage of eliminating the cost of purchasing and maintaining his or her own car. The employer may decide to include a track and trace system in company cars for several reasons. We collected the most frequently asked questions and give you clear answers right away.
What exactly does the tracking system measure?
Depending on the track & trace system and the subscription you choose, you get access to more or less information. Certain solutions give you basic information about location, trip history and fuel consumption, while other systems allow you to analyze, for example, the driving behavior (link to blog about driving style analysis) of your staff and receive automatic notifications for annual maintenance or vehicle inspections.
Where will the tracking system be placed?
In order to prevent any inconvenience while driving, but also to prevent that - should your car be stolen - thieves could easily remove the system, the Track & trace unit, depending on the make and model of the car, is concealed and connected to the existing software.
On weekends I am not allowed to "track" my employees how can I disable the system?
An employer should not follow their employees on weekends via the track & trace in their company car. Privacy is an important commodity, so they should be able to trust that this will be taken care of correctly and - if they prefer - they can be "invisible" outside working hours, in the evenings and/or on weekends.
Fortunately, that can be solved thanks to the installation of a private button. The word actually says it all. Your employee can simply press this button the moment he/she stops working. The system then switches to "private mode," which means the vehicle's location is no longer visible. The vehicle is still tracked, but this way the vehicle's location is not visible, and it can be used both during and out of hours.

Am I required to notify my employee if I provide track & trace in the car?
Although there is no conclusive legislation, it is assumed that you, as an employer, inform your employees of the presence of a track & trace system. The best way to do this is to draw up a geopolicy explaining exactly how the system will be used and what measures your staff must apply.
How do I know who used one of the pool cars when?
Many companies find it convenient to have a few pool cars available to staff. With driver identification, each employee can identify himself by means of a badge system when they leave with the car. In this way, the employer knows at all times who is where with which car, and thanks to the trip history linked to driver identification, he can look back in the past to see who is responsible for any fines or irresponsible driving.
After use, one again uses a badge to also "check out" of the car. When returning the car, the driver again uses the badge to "check out" himself. Thus, the pool car is again ready for use by another employee.
