1 | What are the consequences if my attendance registrations are not in compliance with the law?
Both contractors and subcontractors are required to comply with the Checkin@work regulations, and the fines for non-compliance are not small: they start at €600, but can quickly increase to €6,000. And that is just for establishing the infringement. The administrative fine can cost you an additional €300 to €3,000. Moreover, you will be imposed even higher fines if regular infringements are registered. The employee himself can also receive a hefty fine (€60 to €600) if he/she does not register correctly.
2 | How do I, as an entrepreneur or subcontractor, ensure that I am always in order with Checkin@work?
You can manually register each person who registers on a construction site and then enter them in the online tool of the RSZ. This does require the use of personnel, requires additional administrative actions and errors can occur.
Fortunately, there are smart digital solutions for companies that want to organize registration as efficiently and correctly as possible, and want to be confident that they are not a target for fines.
Depending on your activity (main or subcontractor), or your own preference, there are the following options:
1. A Checkin@work time clock on the site (whether or not connected to a turnstile) where everyone who wants access to the site can register. You choose how you want a worker/visitor to register: RFID badge, Dallas key, Construbadge, company badge, QR code, identity card, TobeLisa badge. So both the employees of the main contractor and all subcontractors and their staff register with Checkin@work in this way.
2. A BlackBox in the construction vehicles with driver identification via Dallas key. This solution offers you even more advantages including calculation of mobility kilometers and hours worked, but also whether your company cars are not used illegally during the weekend.
3. The mobile Checkin@work app on your own smartphone, via your national register number or your LIMOSA number. This is the perfect solution for self-employed or SMEs who want to register quickly and easily.
The right choice depends on your specific situation. The time clock is interesting for larger construction sites with few entrances. Checkin@work via the fleet is intended for companies that already have a track & trace system at All-Connects, or that in addition to Checkin@work are also looking for ways to further improve their operations with, for example, time registration, fleet optimization, and material management. Finally, there is the Checkin@work app: a very user-friendly and fast way for, for example, architects, self-employed people in the construction sector, temporary employment agencies, interns, ... Via the app on the smartphone you can register yourself or a colleague without a smartphone and you do not have to do anything in advance.
3 | How should employees of subcontractors or employees from abroad register?
Thanks to our mobile Checkin@work app, which is available for free on Google Play and the App Store, you can request a login and quickly start your registrations. The default language is set to English, but the user can easily switch to Dutch or French. Persons employed by a Belgian company identify themselves in their profile with their Belgian national register number; all others use their LIMOSA document. Once correctly registered in the app, you can scan the site QR code with the app and you will be automatically registered with Checkin@work.
4 | Is it possible to combine different registration options or is this not a good idea?
It can indeed be very useful to combine the time clock with the mobile app. The time clock is in any case the most complete solution that allows everyone to log in in a user-friendly and fast way. The app can then be used by people without a badge reader (such as third parties), or people who want to enter the construction site via an entrance where there is no time clock. This way they do not have to search for the right entrance, which may be on the other side of a gigantic construction site.
5 | What happens if the Checkin@work login fails?
- Failed time clock login: if the ID is not scanned correctly, or is not recognized by Checkin@work, the user will see a red light and will not be allowed to enter the site. In the case of a turnstile setup, the gate will remain closed. The user must then log in to the site manager.
- Failed registration in the vehicle: An LED light mounted in the vehicle can be used to indicate whether or not the registration was successful.
- Failed mobile app login: When you confirm your login, you will be shown whether your registration was successful or not.
6 | As a main contractor, do I always need management software for attendance registration, even if I only work with the mobile app?
