What is fleet management software?

Fleet management software is a system that allows a company to monitor and manage its vehicles, machinery, and mobile employees from a single central location. The software collects data from trackers and onboard computers in the vehicles, converts it into useful reports, and thus provides visibility into where each vehicle is, how it is being used, and what costs are associated with it. In Dutch, the terms “vlootbeheer” or “wagenparkbeheer” are also used; in practice, however, Belgian fleet managers usually refer to it as “fleet management.”

What a fleet management system typically includes

  • Location Tracking. Real-time location of vehicles, machinery, and trailers, plus the routes they have traveled.
  • Trip Logging. Automatic distinction between personal and business trips, without manual entry.
  • Vehicle data. Mileage, fuel or energy consumption, and error codes, retrieved via the CAN bus.
  • Driving behavior. Acceleration, braking, cornering, and speed—as a basis for coaching and insurance claims.
  • Legal obligations. Reading and storing tachograph data, and maintaining records as required by law.
  • Reporting. Reports by vehicle, driver, job site, or cost center.

The difference between providers rarely lies in the map with the moving vehicle icons. It lies in what happens to the data afterward: what reports you can generate from it, which obligations are automatically covered, and how well the system complies with the regulations in the country where you work.

What FLEET.connect Does

FLEET.connect consists of a tracker or on-board unit in the vehicle and a web platform with an accompanying app. The hardware continuously transmits data, and the platform converts it into overviews and reports. Below is a list of what the system specifically records and provides.

Live tracking and route history

You can see where your vehicles, machinery, and trailers are at any given moment, and you can review the route they took afterward. Trip Tracking and Mobility

Trips are automatically categorized as personal or business travel, without requiring drivers to enter any information. Who is driving and who is a passenger, is determined through in-vehicle identification using a Dallas key or company badge. Tachograph Management

The driver and vehicle records from the digital tachograph are remotely retrieved and stored within the timeframes required by law. You no longer need to retrieve cards or download data manually. This feature is included in the FLEET.TRUCK module. FLEET.TRUCK Tachograph Data Download

Vehicle Data via the CAN Bus

Mileage, fuel or energy consumption, and error codes are read directly from the on-board computer rather than estimated. This provides figures that match what the vehicle itself records. FLEET.PRO Read CAN bus data

Driving Behavior and Dashcams

Maintenance and inspections

You can schedule maintenance and inspections based on mileage, operating hours, or date. The system notifies you when a vehicle is due for service, so you don’t have to rely on a separate calendar or spreadsheet. Maintenance Scheduling

Security and Theft Prevention

For which fleets

FLEET.connect is designed for fleets of approximately three to five vehicles. Below that threshold, the administrative burden rarely justifies the benefits a system provides. There is no upper limit: the platform works just as well for a fleet of five delivery vans as it does for several hundred vehicles and machines. What does vary by sector, however, is which features really matter.

Construction and Infrastructure

Delivery trucks, cranes, containers, and small equipment that move daily between construction sites. The key here is calculating mobility, linking it to construction site registration, and locating equipment that has been left at the wrong construction site.

Transportation and Logistics

Trucks and trailers subject to tachograph requirements. In addition to tachograph management and driving behavior, key factors here include the connection between the tractor and the trailer, and the transfer of trip data to your scheduling or transportation software.

SMEs with a vehicle fleet

Installation companies, technical services, and service providers with a handful of delivery vans. The question is usually simple: where are my vehicles, what routes are they taking, and is the personal-business split correct for the books.

Facilities and Utilities

Teams that travel over a large area to fixed or varying locations. Response times, on-site presence, and the tracking of equipment at each location carry more weight here than simply recording the number of kilometers traveled.

FLEET.START or FLEET.PRO

FLEET.connect offers two subscription plans. The distinction isn’t based on the number of vehicles, but on what you need to do with the data. If you want to know where your vehicles are, where they’ve been, and when something is out of the ordinary, FLEET.START is enough. If you also want to monitor driving behavior, maintenance, drivers, or additional hardware, FLEET.PRO is the right choice.

Integrations with your own software

FLEET.connect is rarely the only system in your company. Trip data needs to go to your scheduling system, hours worked to your payroll system, and expenses to your accounting system. That’s why you can exchange data from FLEET.connect in both directions with external systems—not just for your vehicles, but also for your employees, equipment, and machinery.

Exporting from FLEET.connect

You generate a report in FLEET.connect and import it into the third-party application. You can do this manually or automate the process so you no longer have to worry about it.

Conversely, you can generate a report in the external system and import it into FLEET.connect. This can also be done manually or automatically, depending on how often the data needs to be included.

Directly via the API

Full integration: Data is exchanged directly between FLEET.connect and the third-party application via GET or PUSH. No intermediate steps, no export files.

What connections exist today

  • Tachograph Analysis. Vehicle and driver card data are automatically forwarded to TIS-Web, OPTAC3, Tachogram, or IDHA Online after being downloaded remotely.
  • Transport and freight platforms. Direct transfer of location data and document flow, including eCMR, with Timocom, Trans.eu, LKW Walter, Dashdoc, and Sutran.
  • Supply chain. Visibility across the entire chain through integrations with DHL, GEFCO, project44, Shippeo, Sixfold, Unigis, Schmitz Cargobull, and others.
  • External units and sensors. Tracking data from IoT platforms such as Thermo King, Sigfox, and The Things Network is displayed in the same dashboard.
  • Toll Collection. Automatic processing of toll roads through the payment platforms your customers use when driving in Europe.
  • Fuel cards. All fuel-related data is consolidated in FLEET.connect, so you can view your fuel consumption and refueling history in a single overview.
  • Insurance. Data on mileage, vehicle activity, and driving behavior is shared with insurers, including ALD and Société Générale.

What is the difference between FLEET.START and FLEET.PRO?

FLEET.PRO includes, in addition, driving behavior data, maintenance and inspection tracking, driver registration via badge, integration with dashcams, CAN bus, and additional sensors, automatic route planning, and 24 different reports.

How quickly can the system be installed?

Depending on the type of installation and the work schedule, this can be done within 48 hours: order today, installed tomorrow. Keep in mind, however, that due to the transition from 2G to 4G, installation schedules are filling up faster than usual, and that demand is expected to increase even further over the next two years.

Where will the installation take place?

At the AllConnects workshop in Kontich, at your location, in the garage where your vehicles are normally serviced, or at another agreed-upon location. We work with local partners for this. You must provide a safe working environment for the technician: covered, sheltered, and heated, with sufficient space around the vehicle. Installations are therefore not performed on public roads.

Does it also work for trailers, containers, and machines without a power connection?

Yes. For assets without a permanent power connection, there’s the FLEET.ACTIVE module, which features battery-powered, standalone trackers. You can monitor them in the same dashboard as your vehicles.

Does fleet management software help me comply with Belgian law?

It does, however, apply to certain requirements. The FLEET.TRUCK module remotely reads and stores the driver and vehicle data from the digital tachograph. In the construction sector, the vehicle identification serves as the basis for mobility calculations, and arrival at the job site can be automatically reported to the RSZ via Checkinatwork. Which rules apply to your fleet depends on your industry, your vehicle types, and where you drive.

Can I integrate the data with my own software?

Yes, and the API integration is included with every subscription. You can export reports to an external application, import data from an external system, or exchange data directly via the API using GET or PUSH. Integrations are available with tachograph analysis tools such as TIS-Web, OPTAC3, and Tachogram, as well as with transport platforms such as Timocom, Trans.eu, and Dashdoc.

Do my drivers need to do anything themselves?

For basic tracking, no: trips, locations, and times are automatically recorded as soon as the vehicle is in motion. If you want to know who was behind the wheel, the driver identifies themselves using a badge or a Dallas key. Your team will receive training videos and personalized training—either online or in person—during the onboarding process.

How much does fleet management software cost?
