AllConnects is a Flemish company based in Kontich that has been providing track-and-trace, fleet management, and asset management services since 2002. At AllConnects, a contract lasts 1 year when purchasing the hardware and 3 years when renting it.
Why So Many Entrepreneurs Are Stuck with Their Contracts
Do you want to cancel your track-and-trace contract? If so, you’ll often run into the same obstacle: the contract itself, not the system. Four pitfalls make cancellation difficult and expensive.
When you modernize your fleet, you may sometimes extend your contract without even realizing it. So it pays to know what’s in your own contract, even if you don’t want to switch providers right now.
How to Cancel Your Contract in Five Steps
Look up your contract and the terms and conditions
Make a note of the start date, the term, and the end date. Also check to see if there are any attachments or subsequent amendments, as these sometimes have their own terms.
Calculate your cancellation window
Subtract the notice period from the end date. That is the last day by which your notice of termination must be received. Mark that date on your calendar, with a reminder set one month in advance.
Find out what the cost of early retirement is
If your contract includes a termination fee, calculate how much the remaining term will cost you. Sometimes it’s cheaper to stay until the end, and sometimes it isn’t.
Give written notice, as required by your contract
This is often done by registered mail. Include your customer number, your contract number, the vehicles, and the desired end date, and request written confirmation.
Plan the transition before the end date
Have the new trackers installed before the old ones stop working, so your fleet won't be operating without tracking for even a single day.
Are you unsure about a clause?
Have your accountant or a lawyer review them before you cancel. A cancellation that does not comply with the terms and conditions may be invalid.
Hardware, Data, and the Transition
Your data. Before the end date, export everything you still need: trip history, reports, and records. After the end date, you will often no longer have access to the platform.
Tachograph Data: Retain It Yourself
As a transportation company, you must retain tachograph data for at least 12 months. Download and save this data yourself before your contract expires.
Your hardware. Check whether the trackers are yours or rented. Rented trackers usually need to be returned or dismantled, sometimes for a fee. Ask in advance who will handle this and how much it will cost.
The transition itself. A new system won’t be up and running until the trackers are installed and your team knows how to use them. At AllConnects, depending on the type and schedule, installation can take place within 48 hours of ordering. This is done through a network of local installation partners: at your own workshop, at your customer’s location, or at a garage. This is followed by personalized training, either online or on-site. You can read about how this works in practice under “How AllConnects Works.”
Wondering what a switch would mean for your fleet?
Take the contract check: in just a few questions, you'll see what's in your current contract and what switching providers entails.
Take the contract checkWhat should you look for in a new contract?
Ask each provider these questions, and ask for the answers in writing. In the third column, you can read about how we do it.
| Question | Why It Matters | This Is How We Do It |
|---|---|---|
| How long is the contract? | A long-term commitment ties you down, even if your needs change. | 1 year with purchase, 3 years with hardware rental |
| Does a new term start when I replace or upgrade a tracker? | That's how you extend your commitment without even realizing it. | No: When you upgrade from 2G to 4G, your subscription continues as usual |
| What happens when I add a module or app? | Different contract terms for each module make cancellation complicated. | A new module starts a 1-year subscription |
| What if I sell a vehicle or it's a total loss? | You don't want to keep paying for a vehicle that's gone. | The subscription for that vehicle is being canceled |
| How and when should I cancel? | A missed deadline will cost you an extra period. | The contract is automatically renewed; notice of termination must be given at least 60 calendar days before the end date. |

Frequently Asked Questions
How do I cancel my track-and-trace contract?
Check your contract and the terms and conditions for the end date and notice period. Give written notice before the end of that period, in the manner specified in the contract—often by certified mail. Always ask for written confirmation.
What happens if I miss my notice period?
In the case of a tacit renewal, your contract will automatically continue for a new term. The length of that term is specified in your terms and conditions.
Can I terminate my contract early?
Usually, yes, but often with a termination fee. Calculate the cost for the remaining term and compare it to the benefits a new system would provide.
Will I start a new contract if I switch from 2G to 4G?
That depends on your provider. With some providers, a new four- or five-year term begins. With AllConnects, your subscription simply continues as usual.
Which track-and-trace providers offer short-term contracts?
Ask each provider about the contract term, what happens if you upgrade, and how to cancel. With AllConnects, a contract lasts 1 year if you purchase the hardware and 3 years if you rent it. You can find an overview of Belgian providers at “Compare Providers.”
