Ramen Van Tomme manufactures and installs aluminum joinery—windows, doors, and facades—primarily for commercial projects, but also for private clients. The company is now in its third generation, has grown to about thirty employees, and employs a dozen installers working in the field every day. With that growth came the challenges of manual site management: tracking mileage, calculating travel allowances, and checking in at large construction sites took up valuable time every morning.

Manual follow-up hinders growth
As the number of field teams grew, the administrative burden increased exponentially. Every morning, employees were manually checked in at various job sites—a time-consuming process with no automation whatsoever. There was no reliable system for accurately tracking mileage, which meant that providing accurate and detailed mileage reimbursement was simply not possible.
The need for an automated solution was very urgent. After comparing various track-and-trace systems—both in terms of price and functionality—Ramen Van Tomme chose AllConnects.
Two solutions, one implementation
AllConnects provided a combined solution that addressed both challenges at once. FLEET.connect automatically records trips and mileage—the basis for accurate mileage reimbursement for each employee. Via LIVE.connect, the mandatory Checkin@work attendance registration on large construction sites is fully automated as soon as an employee arrives and identifies themselves on site.
Automatic trip logging
Miles driven are automatically tracked by vehicle and by employee—no more manual data entry.
Appropriate travel allowance
Based on the recorded routes, a detailed travel allowance is calculated in accordance with PC 124.
Automatic Checkin@work
Upon arrival at the worksite, the employee clocks in using their badge. The system automatically reports their attendance to the Social Security Administration.
Up and running quickly
Request for proposal submitted in April 2018 — fully operational in June 2018. Two months from decision to go-live.
